Bali Bartender Hire is operated by PT. Sastra Bali Indonesia, registered in Bali, Indonesia. These terms apply to all bookings made through our website, sales funnel, or WhatsApp. By placing a booking with Bali Bartender Hire, you agree to the following terms.
1. Service Overview
Bali Bartender Hire provides professional mobile bar services for private events in Bali. Our standard service includes:
- Professional bartender(s) assigned by group size
- Full bar equipment, setup, and packdown
- Access to our 46-cocktail menu (for non-BYOB packages)
- Premium glassware for your group
- Fresh mixers, syrups, and garnishes
- Ice supply throughout the event
- Standard 3-hour service window
We serve groups at private villas across Seminyak, Canggu, Uluwatu, Nusa Dua, Jimbaran, Sanur, Ubud, and surrounding areas. For events requiring decor, entertainment, or additional production beyond bar service, our events team will coordinate those elements as part of your custom package.
2. Booking & Confirmation
- A booking is confirmed once we receive a 50% deposit of the total quoted amount.
- The deposit is non-refundable except as outlined in our cancellation policy (Section 4).
- Deposits can be made via bank transfer. Payment details are provided in your quote.
- Your booking is not secured until the deposit is received and confirmed by our team.
- We will send a booking confirmation via WhatsApp within 24 hours of receiving your deposit.
- Prices are locked at the time of deposit. Quotes not secured by deposit may be subject to price changes.
3. Payment Terms
- Deposit: 50% of the total quote, due at time of booking.
- Balance: Remaining 50% is due no later than 3 days before the event.
- A 10% service charge is applied to all bookings. This covers coordination, staffing, logistics, and vendor management.
- A non-refundable installment fee is included in all package quotes. This fee is not negotiable and is not waived under any circumstances.
- All prices are quoted in Indonesian Rupiah (IDR). AUD, USD, or other currency estimates shown on our website are approximate and based on current exchange rates — the IDR amount is the binding price.
- No service will commence without full payment received. If the outstanding balance is not received by the deadline, we reserve the right to cancel the booking and retain the deposit.
4. Cancellation & Refunds

- Cancellations must be communicated in writing via WhatsApp or email.
- Any vendor payments already made on the client's behalf (decor, DJ, entertainment, catering) are non-refundable regardless of cancellation timing.
- If Bali Bartender Hire cancels due to circumstances within our control, you will receive a full refund.
- If we are unable to provide service due to force majeure (see Section 15), we will offer a full reschedule or credit valid for 12 months. Cash refunds in force majeure situations are at our discretion.
5. Changes & Modifications
- You may modify your package (add or remove items) up to 3 days before the event at no charge.
- Changes requested within 3 days of the event are subject to availability and may incur additional fees.
- Guest count changes of more than 5 people may affect pricing and staffing — we will notify you of any adjustments.
- All changes must be confirmed in writing via WhatsApp.
- No custom negotiations beyond published package terms are guaranteed. Modifications are subject to availability.
6. Event Day Operations
- Our team will arrive at your villa 45 minutes to 1 hour before the agreed start time to set up.
- The client (or a designated representative) must be present at the villa to receive our team and confirm the setup location.
- We require access to a flat, covered area with proximity to a power outlet and running water for bar setup.
- Our standard service window is 3 hours from the agreed start time. Additional hours can be added at the rate quoted in your package.
- We will pack down and leave the bar area clean after service ends.
- Service start time begins at the agreed time, regardless of whether guests have arrived.
7. BYOB (Shake & Serve) Packages
- For BYOB packages, the client is responsible for supplying all alcoholic beverages.
- We provide bartenders, bar equipment, glassware, mixers, garnishes, syrups, and ice.
- We are not responsible for the quality, authenticity, or safety of alcohol supplied by the client.
- We strongly recommend purchasing spirits from duty-free shops or licensed retailers only. Counterfeit alcohol is a known risk in Bali — we advise against purchasing spirits from unlicensed local vendors.
8. Alcohol Responsibility
- All alcohol served by Bali Bartender Hire (non-BYOB packages) is certified imported spirits sourced from licensed distributors in Bali.
- Our bartenders reserve the right to refuse service to any guest who appears visibly intoxicated, underage, or behaving in a manner that endangers themselves or others.
- Bali Bartender Hire is not liable for any injury, illness, or incident arising from excessive alcohol consumption by guests.
- The client is responsible for ensuring all guests are of legal drinking age (21 years in Indonesia).
- The client is responsible for ensuring the villa permits alcohol service. Some villas have restrictions — it is the client's responsibility to confirm this before booking.
9. Damage, Equipment & Liability
- Bali Bartender Hire carries professional liability insurance for our staff and equipment.
- We are not liable for damage to the venue or property caused by guests during the event.
- The client is responsible for any damage to our equipment caused by guests or third parties during the event.
- Broken glassware will be charged at replacement value. Breakage costs will be communicated after the event.
- Our total liability for any claim shall not exceed the total amount paid for the event.
10. Villa Access & Logistics
A transport fee may apply depending on your villa location:

- The client must provide the full villa address and any access instructions at least 3 days before the event.
- If our team is unable to access the villa at the agreed time due to incorrect address, locked gates, or the client not being present, a waiting fee of IDR 200,000 per 30 minutes may apply.
11. Weather & Outdoor Events
- Bali Bartender Hire is not responsible for weather conditions affecting outdoor events.
- We will make reasonable efforts to relocate the bar setup to a covered area if weather deteriorates during the event, subject to available space at the villa.
- Weather does not constitute grounds for cancellation or refund. We recommend the client identifies a backup indoor/covered area at their villa in case of rain.
12. Infrastructure & Utilities
- The client is responsible for ensuring stable electricity and running water are available at the villa for the duration of the event.
- Power outages, water supply interruptions, or infrastructure failures at the venue are not the responsibility of Bali Bartender Hire.
- If we are unable to operate due to infrastructure issues at the venue, the event will be considered delivered and no refund will apply.
13. Local Regulations & Noise
- The client is responsible for compliance with villa rules, local community (banjar) regulations, and Indonesian law regarding noise, music, and event activities.
- If the event is shut down or disrupted by local authorities, villa management, or community leaders due to noise complaints or rule violations, this is the client's responsibility.
- No refund will be issued if the event is cut short due to rule violations by the client or their guests.
14. Indemnification
The client agrees to indemnify and hold Bali Bartender Hire harmless from any and all claims, damages, losses, costs, and expenses (including legal fees) arising from:
- The behaviour or actions of the client's guests during the event
- Damage to the venue or third-party property caused by the client or their guests
- Any injury or illness resulting from alcohol consumption by the client or their guests
- The client's failure to comply with villa rules, local regulations, or these terms
15. Force Majeure
Bali Bartender Hire is not liable for failure to perform due to circumstances beyond our reasonable control, including but not limited to: natural disasters, volcanic eruptions, government-imposed restrictions, pandemics, civil unrest, road closures, power outages, or extreme weather events.
In such cases, we will work with you to reschedule or provide a credit valid for 12 months. No cash refund will be issued for force majeure events after 30 days from the original event date unless agreed otherwise in writing.
16. Photography & Marketing
- We may photograph our bar setup, cocktail presentation, and team at your event for use in our marketing materials, social media, and website.
- Photographs will never include identifiable guests without separate written consent.
- If you prefer no photography at all, please let us know in writing before the event and we will respect your request.
17. Intellectual Property
All content on balibartenderhire.com — including text, images, logos, and design — is the property of Bali Bartender Hire / PT. Sastra Bali Indonesia unless otherwise stated. You may not reproduce, redistribute, or republish any material from this website without prior written consent.
18. Governing Law & Disputes
These terms are governed by the laws of the Republic of Indonesia. Any disputes arising from these terms shall be resolved through good-faith negotiation. If negotiation fails, disputes shall be submitted to the courts of Denpasar, Bali, Indonesia.
19. Changes to These Terms
Bali Bartender Hire reserves the right to update these terms at any time. Changes take effect immediately upon posting. Continued use of our services after changes constitutes acceptance of the updated terms.
